The Documents tab

The Documents tab is every file on the case. It’s organized by category, backed by your firm’s own Google Drive, and tracks a chain of custody on each file. Access to the whole tab requires document-view permission.

The Header and Toolbar

Along the top you’ll find + Add Document (the main upload), plus Bulk Import and, when the case is connected to Drive, Sync from Drive and Suggest File Moves. If you have production rights, Stage Production starts a Bates production from here. Below that is a search box and a set of filters — by category, file type, and source (client upload, forwarded, promoted, or firm upload) — with a More filters popover for review status, privilege, upload date, and a medical-records-only toggle. A Sort menu orders the list by date, name, size, source, category, or file type.

List vs. Category View

A toggle switches between a flat list view (the default) and a category view that groups documents under their category headings with a count for each. The list columns are the file (with its name, date, page count, and size), an AI-status icon, the category, who uploaded it, and a download button.

Uploading a Document

+ Add Document opens a window you can drop files onto. The flow:
  1. Category is required — nothing uploads until you pick one.
  2. If you choose Medical Records, a details block appears: record type (required), service dates, physician, provider, and which patient it belongs to.
  3. Choose files — you can drop several at once, or paste a Google Drive link instead.
  4. AI analysis — a per-file choice of whether AI should categorize, summarize, and index the document. It defaults to the case’s AI setting.
  5. An optional notes field (shown when you’re uploading a single file).
Each file shows its own progress as it uploads, and the app flags duplicates so you don’t file the same thing twice.

Working with a Document

Each row has a download button and an overflow menu for retrying or dismissing AI analysis, sharing the document to the client, and deleting it (a document under legal hold can’t be deleted). Opening a document gives you tabs for its Details, a Preview, its Versions, and its Custody history. The Details tab is where most document work happens: rename the file, read its AI summary, edit tags and category, mark it privileged or confidential, manage whether it’s shared with the client, open it directly in Drive, and add attorney notes. Selecting several documents at once gives you a bulk bar to analyze or delete them together.

AI Status

When AI analysis is on, each file shows its state as a small icon — queued, analyzing, complete, or failed (click a failed one to retry). Files the AI skipped show no icon.

How Categories Map to Drive

Each category maps to a named subfolder in the case’s Drive folder, so the structure you see in the app matches what you’d see in Drive. If a category has no specific folder, the file goes to the case’s general Documents folder — uploads never fail over a missing folder. When you import files from Drive, the app reads the folder name to guess the category.
